The building directory is the first sign most visitors interact with when they arrive at a commercial building. In Dubai's multi-tenant office towers, mixed-use developments, and business parks, it carries a significant responsibility: it needs to be legible, bilingual, accurate, and easy to update as tenants come and go.

It is also, in many buildings, an afterthought — a generic stainless steel panel with printed vinyl inserts that have not been updated since the building opened. Tenants have moved, names have changed, and the directory still shows companies that left two years ago.

Here is how to approach building directory signage properly.

Types of Building Directory Systems

Static Directories (Fixed Panel with Changeable Inserts)

The traditional approach. A framed panel — typically stainless steel, aluminium, or acrylic — with individual tenant name strips that can be slid in and out as tenants change.

Advantages:

  • Lower upfront cost than digital systems
  • No power or network connection required
  • Reliable — no screens to fail or software to update

Disadvantages:

  • Requires physical access to update (someone has to reprint and replace the insert)
  • Limited information capacity — typically just tenant name and floor/unit number
  • Can look dated in premium buildings

Best for: Smaller buildings (under 20 tenants), buildings where tenant turnover is low, budget-conscious projects.

Illuminated Static Directories

A static directory with LED backlighting. The illumination makes the directory more visible in lobby environments and adds a premium appearance.

The tenant inserts are typically printed on backlit film rather than standard paper or vinyl, which produces a more even, glowing appearance.

Best for: Premium office buildings, hotel lobbies, healthcare facilities where the directory needs to be clearly visible at all times.

Digital Directories (Touchscreen)

A touchscreen display — typically 32"–55" — running directory software. Visitors can search by tenant name, browse by floor, or filter by category. The display can also show building announcements, maps, and other information.

Advantages:

  • Instant updates — tenant changes are made in software, not by reprinting inserts
  • Rich information — floor plans, directions, contact details, photos
  • Bilingual switching — Arabic/English toggle at the touch of a button
  • Can display building announcements and emergency information
  • Visitor registration integration possible

Disadvantages:

  • Higher upfront cost
  • Requires power and network connection
  • Screen failures require technical support
  • Software requires ongoing management

Best for: Large office towers (50+ tenants), premium commercial developments, buildings with high visitor volumes, healthcare and hospitality.

Hybrid Systems

A static directory for primary tenant identification, combined with a digital display for search, maps, and announcements. The static panel handles the most common use case (finding a specific tenant by name); the digital display handles complex navigation.

Material Options for Static Directories

Brushed Stainless Steel

The premium standard for commercial building directories in Dubai. Durable, corrosion-resistant, and appropriate for any building quality level. Grade 316 for coastal locations (Dubai Marina, JBR, Palm Jumeirah).

Finish options: Brushed (most common), mirror polished (statement lobbies), powder coated (colour matching to lobby palette).

Anodised Aluminium

Lighter than stainless steel and available in a wider range of colours. Anodising provides a hard, corrosion-resistant surface. Commonly used for directories in business parks and mid-range commercial buildings.

Acrylic

Clear or frosted acrylic panels with printed or engraved tenant information. A more contemporary look than metal. Less durable than stainless steel but appropriate for interior locations.

Timber and Composite Materials

Used in hospitality and residential developments where warmth and character matter more than corporate formality. Timber directories require more maintenance than metal in Dubai's humidity.

Bilingual Requirements

Dubai Municipality requires Arabic on all commercial signage, and building directories are no exception. For directories, this means:

  • Arabic text must be at least equal in size to English text. This is a DM requirement, not a suggestion.
  • Arabic script reads right to left. Layout must accommodate this — a directory that simply adds Arabic text to a left-to-right layout will look wrong.
  • Tenant names in Arabic: Many international companies do not have an official Arabic transliteration of their name. The building management or sign company will need to produce one — this should be reviewed by an Arabic speaker before fabrication.

For digital directories, bilingual switching (Arabic/English toggle) is the standard approach. The interface language switches, and all tenant names are stored in both scripts.

Update Systems: The Overlooked Requirement

The most common failure in building directory systems is not the initial installation — it is the update process. Tenants move in and out. Companies rebrand. Floor allocations change. If updating the directory requires a specialist visit or a reprint order, it will not get done promptly, and the directory will become inaccurate.

For static directories: Specify a system where the building management team can update tenant inserts themselves — a standard insert size that can be printed on a standard office printer, or a supplier who can turn around replacement inserts within 24 hours.

For digital directories: The software must have a simple content management interface that non-technical building management staff can use. If updating a tenant name requires a developer, it will not happen.

What Tenants Need to Know

If you are a tenant in a multi-tenant building, your directory listing is typically managed by the building management company. However:

  • Confirm your listing is correct when you move in. Check the spelling of your company name, your floor and unit number, and the Arabic version of your name.
  • Request updates promptly when your details change — company name, floor, or contact information.
  • Check DM compliance if you are responsible for your own unit identification signs (the sign outside your specific office door). These are separate from the building directory and are your responsibility to permit and install correctly.
